How to Add Team Members to Your Handoff Account
If you're on Handoff’s Business Tier, you can invite additional team members—like a foreman or office admin—to collaborate on your projects. Follow the steps below to add and manage users in your account.
Step 1: Log in to Handoff
Start by logging into your Handoff account from your desktop or mobile device.
Step 2: Open Your Settings
Click on the Settings icon (gear symbol) located in the lower left corner of your screen.
Note: This icon may appear in different positions depending on your device or screen size.
Step 3: Go to Team Users
Once you're in Settings, scroll down to the Team & Account section and click on Team users.
This is where you can view who currently has access to your account and invite new team members (Business Tier only).
Step 4: Check Your Plan’s User Limit
Business Tier
Allows up to three total users per account.
Example setups:
You, your foreman, and your office admin
You and two business partners
Starter Tier
Limited to one user only. Additional team members cannot be added on this plan.
Step 5: Invite a New Team Member
On the Team members screen, you’ll see a list of current users and any pending invites.
Click the green + New button in the top right corner.
A form titled Invite a teammate will appear. Fill out the required fields:
Name – The team member’s full name
Email – Their email address
Phone – Their phone number
Click Add to send the invitation.
The new team member will appear as "Invited" until they complete setup.
Step 6: Team Member Setup
The invited team member will receive an email with a link to join your account.
They’ll complete their setup and begin logging in using their phone number going forward.
Step 7: What Team Members Can Access
Once added, team members will be able to:
View all estimates (both drafts and sent)
Access client contact details
Use invoicing and proposal tools
Navigate account settings
How to Delete a Team Member from Your Handoff Account
Removing a team member will immediately revoke their access to your Handoff account. They will no longer be able to log in, or view or edit any estimates, proposals, invoices, or settings.
Step 1: Log in to Handoff
Start by logging into your Handoff account from your desktop or mobile device.
Step 2: Open Your Settings
Click on the Settings icon (gear symbol) located in the lower left corner of your screen.
Note: This icon may appear in different positions depending on your device or screen size.
Step 3: Go to Team Users
Once you're in Settings, scroll down to the Team & Account section and click on Team users.
This is where you can view and manage everyone who has access to your account.
Step 4: Delete a Team Member
Locate the team member you want to remove.
Click the three-dot menu next to their name.
Select Delete from the dropdown menu.
You’ll be asked to confirm the action. Once deleted, the team member will immediately lose access to the account and all associated data.
How to Invite an Existing Handoff User to Your Team
If the person you're trying to invite already has a Handoff account, the invite will not go through unless specific steps are taken—even if you're only reusing one part of their original contact info.
Why This Happens
Handoff accounts are tied to a unique email and phone number combination, and both must be unused in any other account.
The invite will fail if:
The email is already used with a different phone number
The phone number is already used with a different email
Both the email and phone number must be completely unused in any other Handoff account in order for the invite to go through.
Option 1: Have Them Delete Their Original Account
If they no longer need their personal Handoff account, they can delete it by following these steps:
Log in to Handoff
Click the Settings icon (gear symbol) in the bottom left corner
Scroll to the bottom of the page and click Delete account under the Danger Zone section
Follow the prompts to complete the deletion
Once their original account is removed, you'll be able to invite them using that same email and phone number.
Option 2: Use a Different Email and Phone Number
If they wish to keep their current Handoff account, you'll need to invite them using an entirely different email and phone number combination—both must not be associated with any existing Handoff accounts.
