Managing Files in Handoff

Overview

Handoff provides a central place to store, organize, and access all your project files, including photos, drawings, PDFs, inspection reports, and vendor quotes.

You can upload files directly to individual projects or store reusable documents in Global Files for access across all projects.


Project Files

Each project includes its own Files tab where you can upload, create, and manage project-specific documents.

Access Project Files

  1. Open a project.

  2. Tap the Files tab.

Upload Files to a Project

  1. Open the project.

  2. Tap Upload to project or tap the + button.

  3. Select photos, documents, or other files.

Uploaded files are automatically organized within the project.

Create a Document in a Project

  1. Open the project.

  2. Tap Create document.

  3. Choose the type of AI-powered document to generate, such as a scope of work or material list.

The document will be saved directly to the project.

View and Share Files

  1. Open the project.

  2. Tap the Files tab.

  3. Tap any file to preview it.

  4. Tap the Share icon to send the file to a client or colleague.


Global Files

Global Files allow you to store reusable documents that you use across multiple projects.

Common examples include:

  • Contract templates

  • Company letterhead

  • License certificates

  • Supplier price lists

Access Global Files

  1. Go to Settings.

  2. Scroll to the Global Files section.

  3. Tap Add files to upload a document.

Files stored in Global Files are available within any project and can be referenced in AI chat.


Using AI with Files

Once a file is attached to a project, you can reference it in the AI chat to extract information or generate documents.

Examples:

  • Create an estimate based on the uploaded PDF.

  • Summarize the scope of work in the attached file.

  • Extract the material list from a document.

Handoff AI can read and extract information from PDFs, images, and documents to help you build estimates and write scopes of work more efficiently.


Supported File Types

Handoff supports the following file types:

  • Images: JPG, PNG, HEIC

  • PDFs

  • Documents: Word, Excel, and similar formats

  • Photos taken directly in the app
