Lead Intake and Activity Tracking

With Lead Intake, you can create leads, assign teammates, track activity, capture referral sources, and keep client information organized in one place.

✍🏼Create Clients & Projects in Lead Status

You can now:

  • Create a new client

  • Add phone, email, and contact details

  • Record the referral source

  • Create a project in Lead status

Leads can later be converted into active projects as work progresses.

This allows you to start using Handoff from first contact, not only once estimating begins.

👥 Assign Teammates to Leads & Projects

You can assign a project to a teammate or sales rep.

Once assigned, that teammate will receive notifications for activity on that project, including:

  • Estimates created

  • Proposals sent or opened

  • Approvals

  • Invoices created or paid

  • Files uploaded

  • Comments added

If no one is assigned, notifications follow the default behavior.

Assigning ownership helps ensure:

  • No leads fall through the cracks

  • The right person stays accountable to the job

🕘 Track Activity & Project History

Each project now includes an Activity log, where you can see:

  • When a project was created

  • When an assignee was added or changed

  • Proposals sent, opened, or approved

  • Estimates created

  • Files added

  • Invoices created or sent

Users can also add manual activities for additional context.

System-generated activities cannot be deleted.
Manually created activities can be removed if needed.

This creates a reliable historical record for every project.

⚠️ “Needs Attention” Filter

Some activities are more important than others — such as:

  • An invoice being sent

  • A customer taking action

  • A key approval event

The Needs Attention filter allows subscribers to quickly surface high-priority items that may require follow-up.

This helps teams:

  • Prioritize actions

  • Respond faster to customers

💬 Project Comments & Mentions

Subscribers can add internal comments to a project.

You can:

  • Leave notes for teammates

  • Provide direction or updates

  • Ask for follow-up

This helps keep project-specific communication in one place.

🗂️ Centralized Client Profile

From the client page, subscribers can see:

  • Total estimated value

  • Invoiced totals

  • Draft vs. sent totals

  • All projects associated with the client

  • Referral source information

  • Notes and client details

You can also:

  • Edit the referral source

  • Add multiple referral channels if needed

  • Save descriptive notes about the customer
