To connect QuickBooks Online, go to Settings > QuickBooks sync, select Connect to QuickBooks, and sign in to Intuit. Then choose where projects go and select Finish setup.
Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Company settings. Works on desktop and in the mobile app.
Before you start
Intuit sign-in: have the login for the QuickBooks company you want to connect ready.
One company per account: each QuickBooks company can link to only one Handoff account at a time.
Plan: Pro and Scale sync both ways, so invoices, payments, and expenses created in QuickBooks also come into Handoff. Flex and Business sync one way, from Handoff to QuickBooks.
QuickBooks Projects: to create native QuickBooks Projects, you need QuickBooks Online Plus or Advanced with Projects turned on. Otherwise choose Sub-customer.
QuickBooks Online only: see Does Handoff work with QuickBooks Desktop?.
Connect QuickBooks Online
Go to Settings > QuickBooks sync.
Select Connect to QuickBooks.
Sign in to Intuit, choose your QuickBooks company, and approve access for Handoff. In the mobile app, Intuit opens in your phone's browser. You return to Handoff.
In the Where projects go window, select QuickBooks Project or Sub-customer.
Select Finish setup.
Finish setup stays unavailable until your project choice is ready. When it works, the connection shows Syncing while Handoff imports your customers, then changes to Connected.
Choose where projects go
QuickBooks Project: creates native QuickBooks Projects for job costing. Needs QuickBooks Online Plus or Advanced with Projects turned on.
Sub-customer: creates a job under the client's QuickBooks customer.
If native Projects aren't ready, the window offers Enable native Projects, Open QuickBooks, and Check again.
Your choice applies to new projects only, and existing project links stay as they are. You can change it later under Project mapping, described in How to choose your QuickBooks sync settings.
What happens when you finish setup
Customers are imported. Active QuickBooks customers updated in the last two years become Handoff clients. Handoff matches customers to existing clients by name, not email, and links them instead of duplicating them. Sub-customers are not imported.
Existing records are paused. Sent estimates, sent invoices, and clients that have never synced are marked Paused. Handoff does not send them to QuickBooks automatically.
Cost codes sync turns on. If your plan includes cost codes and you haven't turned it off before, Cost codes sync starts on.
Estimates wait for approval. Only sync approved estimates is on for a new connection, so an estimate syncs once your client approves it.
Older QuickBooks invoices stay in QuickBooks. Handoff does not import invoices that already exist there.
To sync a paused record, open it and select QuickBooks sync from its options menu. Then turn on Changes made in Handoff will update in QuickBooks automatically.
The connection doesn't complete
If Handoff shows QuickBooks connection cancelled or Couldn't connect to QuickBooks, select Connect to QuickBooks again and approve access. If you see Account already linked, that QuickBooks company is linked to another Handoff account, so select Connect a different account.
For every connection message and its fix, see QuickBooks sync errors and how to fix them.
