How seats and team member limits work

See how many team members each plan includes, what counts as a seat, how to add seats, and what happens when you reach your limit.

Written by Dave Pucci

A seat is one place for a team member on your account. Your plan includes a number of seats, and you can pay $20 per month for each additional seat on every plan except Starter.

Available on the Flex, Pro, Scale, and Business plans. Seats differ by plan. You need permission to edit Company settings to invite people and add seats. Works on desktop and in the mobile app.

Seats included in each plan

  • Starter: 1 seat, and you can't add more.

  • Flex: 2 seats.

  • Business: 3 seats.

  • Pro: 5 seats.

  • Scale: 5 seats.

On Flex, Business, Pro, and Scale, each additional seat is $20 per month, billed monthly. Your limit is the included seats plus any seats you add.

What counts as a seat

Every active team member counts as a seat. A pending invite counts too, from the moment you send it. The pending invite shows (Invited) after the name on your team list.

Deleting a team member or a pending invite frees the seat right away. To remove someone, see How to invite team members.

See your seat usage

  • Go to Settings > Team & Account > Team members. The top of the list reads "{used} / {limit} user seats occupied".

  • Open your subscription in Settings. The usage card shows Seats as used out of limit.

Add seats

If every seat is in use, selecting New on desktop or Invite teammate in the mobile app opens You've reached your user limit.

  1. Use Additional users to choose how many seats to add.

  2. Select Add users.

Handoff charges the prorated amount to your saved payment method right away. The message Additional seats purchased successfully appears, and the invite form opens so you can finish the invite.

If you subscribe through the App Store or Google Play

You can't add seats in the app when you subscribe through the App Store or Google Play. At the limit, the Team Member Limit Reached message opens instead. It tells you to upgrade for more seats, or, on Pro and Scale, to contact support. The Starter plan shows the same message.
