How to assign team members to projects, phases, and tasks

Assign a team member to a project, a schedule phase, or a task, and learn what access and notifications the assignment gives them.

Written by Handoff Support

You can assign a team member in three places: the project itself, a schedule phase, and a task. Each assignment sets who is responsible for that piece of work and lets them see the project.

Available on the Flex, Pro, Scale, and Business plans. Assigning tasks is on the Pro and Scale plans. You need permission to edit the project or schedule. Works on desktop and in the mobile app.

Assign a team member to a project

  1. Open the project Overview tab.

  2. Select the assignee chip, which shows a name or No assignee.

  3. Choose a team member, or choose No assignee to clear it.

On desktop, a dropdown opens. In the mobile app, the Assign user dialog opens.

The same menu has Team members with access, where you check the people who can open the project. The assigned person always has access to it.

Assign a team member or sub to a schedule phase

  1. Open the project Schedule tab and open the phase.

  2. Select the Assignee field.

  3. Choose people under Team members or Subs & vendors. You can choose more than one.

  4. Save the phase. A new phase is saved with Create.

A sub or vendor assignee gets an email with an Open project portal button. This needs a portal invite and a project already shared with them.

Assign a team member to a task

  1. Open the task from the project Tasks tab.

  2. Select Assignee and choose a person under Team or Subs & vendors.

  3. Select Save.

A task has one assignee. Field Crew can't reassign tasks, and their new tasks are assigned to them. See How to create and assign tasks for bulk assigning.

What an assignment gives the person

If someone's role has access to Projects they've been invited to, assigning them adds them to the project. People with All projects access already see it.

The person gets a notification, which they can change in their notification settings:

  • Project details: they are assigned to or removed from a project.

  • Schedules: they are assigned to or removed from a phase.

  • Tasks: they are assigned a task, are removed from one, or its due date changes.

A person added to a project because you assigned them doesn't also get an invite notice.

Add someone who isn't listed

If the person isn't in the list, select Invite team member in the picker. It opens Settings > Team members, where you enter a Name, Email, Phone, and Role and select Send invite. Only users who can edit company settings see this option.

Handy (Handoff's AI assistant) can assign people to schedule phases, but it can't set a project's assigned user or invite people.
