How to create and assign tasks

Add tasks and task lists, assign them to your team or a sub, set due dates, complete them, filter the list, and export tasks from a project.

Written by Handoff Support

To create a task, select Add task on the Tasks tab of a project, or on the Tasks screen to cover all projects. Enter a Task name, set an Assignee and Due date if you want, and select Add task to save.

Available on the Pro and Scale plans, and you can view tasks on other plans. Field Crew can add tasks, which are assigned to them. Works on desktop and in the mobile app.

Add a task

  1. Open the project and go to the Tasks tab. For a task that isn't tied to one project, select Tasks in the main navigation instead. In the mobile app, Tasks may sit under More.

  2. Select Add task.

  3. Enter a Task name. This is the only required field.

  4. Optionally set the Task list, Category, Assignee, Due date, and Description. Select Add photos to attach images up to 200 MB each.

  5. Select Add task.

The task appears in its list. A task with no list goes under General tasks. On the global Tasks screen you pick a Project or Company-wide instead of a list.

On desktop, you can also select Add task at the bottom of a list, type a name, and select Add.

Create a task list

A task list groups tasks for one project. In the project Overview tab, select Create > Task list. You can also select New task list on the Tasks tab. Then choose a source:

  • From estimate, From schedule, or From document: Handy (Handoff's AI assistant) opens a chat, asks what you want the list to cover, then creates and saves the tasks.

  • Manually: enter a List name.

Field Crew can't create lists.

Assign a task and set a due date

  1. Open the task and select Assignee.

  2. Choose a person under Team or Subs & vendors, or choose Unassigned.

  3. Select a Due date.

  4. Select Save.

A task has one assignee. Clients can't be assigned. If the person you need isn't listed, the picker also offers Invite team member and Add subcontractor for users who have permission.

Assigning a task to someone whose role only covers projects they've been invited to gives them access to that project.

The assignee gets a notification when you assign the task, remove them, or change the due date. Turn these on or off under the Tasks row in your notification settings. A sub or vendor assignee gets an email only if the project is already shared with them in the Sub & Vendor Portal.

Complete a task

Select the task's checkbox, labeled Mark task as complete, or select Undo to reverse it. Completed tasks collapse under Completed. To bring one back, select Reopen.

Find, sort, and change tasks

Search by task name, or select Sort by to order by due date or creation date. Filter by Task list, Status, Assignee, or Category.

Status includes Overdue and Due soon. To see only your tasks, pick yourself in Assignee.

On desktop, select Board view to see one column per list and drag tasks between lists. On the project Tasks tab on desktop, choose Manual under Sort by to drag tasks into your own order.

To change several tasks at once, select their checkboxes on desktop. In the mobile app, long-press a task. Then choose Assign, Change status, Move to, Category, Due date, or Delete.

Export tasks

Export works from the project Tasks tab. On desktop, select Print and export tasks and choose Print, Export as CSV, or Export as PDF. In the mobile app, select Export tasks and choose CSV or PDF.
