Win the Job

Create projects, find your way around, and manage customers.

Projects & Getting Started

Create a project, add your client, then describe the job to Handy to build your first estimate. Works on desktop and in the mobile app.

How to create your first project and estimate

Search across projects, estimates, invoices, clients, and more from the desktop sidebar or Cmd+K, or use the search field in each mobile app list.

How to search in Handoff

Reorder the tab bar in the mobile app so your most-used tabs come first, and reset it to the default order.

How to change the tabs in the mobile app

Create projects, navigate the project workspace, and start estimates.

Project Creation & Setup

Add a contact from the Contacts list, edit or delete it later, add a client from a project, and filter or sort your contacts.

How to add or edit a contact

Import contacts from a file or from your phone, review the preview, and choose whether to skip duplicates.

How to import contacts

A lead in Handoff is a project in Lead status. See how referral source, the Projects list, and the contact page help you follow it.

How to track leads in Handoff

Customer Management

Create, edit, and understand estimates built with Handoff AI.

AI Estimating

Describe the job in chat and Handy (Handoff's AI assistant) builds an estimate you can review and refine with follow-up messages.

How to create an estimate with Handy

Attach photos, videos, PDFs, or drawings in the Handy chat and Handy reads them to build an estimate.

How to create an estimate from photos, videos, or drawings

Attach an estimate as a PDF, CSV, or Excel file in the Handy chat and ask Handy to replicate it as a new Handoff estimate.

How to recreate an existing estimate from a PDF or CSV

Which files help Handy build an accurate estimate, how many to attach, and the size limits to know.

How to get better estimates from your files

Talk through a job and take photos in the mobile app. Handoff turns them into notes you can convert into an estimate or another document.

How to capture a walkthrough on your phone

Scan rooms with a LiDAR iPhone or iPad to capture dimensions and a 3D model, then start an estimate from the floor plan.

How to measure a room with Room Scan (Beta)

AI takeoff reads residential plans up to 7,000 sq ft and builds an editable estimate, annotated drawings, and a summary report in 1 to 2 hours.

What AI takeoff is and when to use it

Upload residential plans, add instructions, and start a takeoff from the chat plus menu to get an estimate, drawings, and a report.

How to run an AI takeoff

Talk to Handy by voice instead of typing. Start a conversation, ask questions, update estimates, and end the session when you finish.

How to use Live Mode (Beta)

Create estimates from descriptions, photos, videos, Walkthrough Mode, plans, takeoffs, or an existing PDF or CSV.

Create an Estimate

Edit, add, delete, duplicate, and move items, groups, and sections on a draft estimate, and choose which table columns you see.

How to edit items on an estimate

Get more detailed estimates from Handy by giving specifics in your prompt, asking for breakdowns, and organizing by room or trade.

How to get more detailed estimates

Merge two or more estimates from the same project into one new draft estimate, with each original becoming its own section.

How to combine estimates

Correct an estimate by asking Handy in chat, editing rows yourself, or undoing and reverting changes, including on a sent estimate.

How to fix an estimate with Handy or by hand

Edit with AI or by hand: line items, groups, pricing adjustments, and revisions.

Edit an Estimate

How an estimate is organized into sections, groups, and items, what each column and total means, and which parts your client sees.

How to read your estimate

Handy gets quantities from the numbers you give it, your files, your saved rates, and typical industry assumptions, then you review them.

How Handoff calculates quantities

Ask Handy to organize an estimate by CSI division, or build the divisions yourself with named groups, then export it as a CSV or PDF.

How to organize an estimate by CSI division

Estimate structure, labor and material breakdowns, totals, and calculations.

Understanding an Estimate

Handy builds and edits estimates and runs parts of your business from chat. See where to open it and how it uses your data and credits.

How Handy works

Open the Handy chat from any screen, find past chats, and learn what it can and can't do for your estimates, clients, and documents.

How to use the Handy chat

Write a job description Handy can price well. Include size, scope, finish level, and how you want it organized, then refine with follow-ups.

How to write a good prompt for Handy

Copy example prompts for estimates, edits, pricing, and everyday business tasks, then change the details to fit your job.

Example prompts for Handy

Handy shows progress labels, rows that appear as they are built, and a summary card. Learn what each means and when you can skip or stop.

What you see while Handy builds your estimate

Before it builds an estimate, Handy can study your earlier estimates to match your pricing and structure. See when it runs and how to skip it.

How Handy researches your past work

Handy keeps notes on how you work from your chats and uses them as hints on later estimates. See what it saves, who sees it, and what outranks it.

How Handy learns your preferences

How Handy, Handoff's AI assistant, researches, learns, and builds estimates, and how to prompt it.

Working with Handy

Set up catalogs, pricing, markups, tax, and presets so estimates come out right.

Catalog, Pricing & Estimate Presets

A catalog is a saved list of your rates. Handy checks your catalogs first when it prices an estimate, so your numbers win over market data.

How catalogs work

With no catalog, Handoff prices estimates from local labor data, retail supplier matching, and market defaults. Add a catalog to use your own rates.

How Handoff prices estimates before you add a catalog

Upload a supplier price list as a spreadsheet, PDF, image, or Word file and Handoff turns it into catalog rates your estimates can use.

How to import a supplier price list into a catalog

Pick Home Depot or Lowe's as the store Handoff uses to price materials, and turn ABC Supply, Ferguson Home, and Delta Faucet catalogs on or off.

How to choose your default supplier

Connect your ABC Supply account, choose your ship-to and branch, and turn on ABC Supply pricing for roofing, siding, and exterior materials.

How to connect ABC Supply to Handoff

Catalog items, custom items, material and labor rates, and pricing sources.

Catalog Management

Handoff prices each line from your request first, then your catalogs and presets, then supplier and local labor data. Learn what you can control.

How Handoff prices an estimate

Handoff prices labor by the county of your estimate's price location. Set the location from your project address or the Set price location button.

How location sets pricing in your estimates

Handoff sets labor rates from your price location unless you supply your own. Add your own rates in a Labor catalog item, a Preset or the AI chat.

How labor rates are set

Set default labor, material and other markups in Presets, or change markup on a single estimate from its breakdown.

How to edit your markup

Handoff splits every estimate line into Material, Labor, Labor + Material or Other, so you can mark each type up differently and see totals by type.

How to set separate material and labor markups

Labor rates, material pricing, markups, and margins.

Pricing & Profitability

Presets store your default markups, tax, and written rules so Handoff applies them to every new estimate, proposal, change order, and document.

What Presets are and how they work

Add one tax rate to an estimate from the breakdown, choose whether it applies to labor, material or both, or set a default in Presets.

How to set tax on an estimate

Write AI instructions in Presets so Handoff follows your estimating rules on every new estimate, and learn how instructions are checked and enabled.

How to teach Handoff your estimating preferences (AI instructions)

Templates store reusable documents, client messages, terms and conditions, and daily logs. Presets store your rules and defaults.

What Templates are and how they differ from Presets

Create presets, configure defaults, set tax, and apply presets.

Estimate Presets

Build proposals, add options, create renderings, and get them approved.

Proposals & Approvals

Turn an estimate into a proposal with the Proposal tab or Convert to, edit its sections, ask Handy to rewrite a section, then preview and send it.

How to create a proposal

See the sections you can add to a proposal, which are on the Pro and Scale plans, and how to set your brand colors and fonts on desktop and mobile.

What you can add to a proposal

Build a reusable proposal layout with the sections you want, then apply it to any proposal from the Layout chip, on desktop or in the mobile app.

How to create and apply a proposal layout

Export a proposal or estimate as a PDF or CSV from the ⋮ menu, and print it from a desktop browser. Mobile exports open the share sheet.

How to export or print a proposal or estimate

Fix a failed proposal or estimate PDF export. Learn what each error message means, and how to retry, wait for a slow export, or export fewer options.

PDF export didn't work: how to fix it

Generate, customize, and export proposals.

Creating Proposals

Options and Add-ons let your client choose between alternatives and optional extras on one estimate. Totals and invoices use only the chosen scope.

How Options and Add-ons work

Turn an estimate item into an Option group or an Add-on on desktop or in the mobile app, set what is selected by default, and change or undo it.

How to add options and add-ons to an estimate

Offer your client up to five versions of a job on one proposal. Add, rename, duplicate, and delete estimate options from the tabs above the estimate.

How to add multiple estimate options to a proposal

Send a proposal with options and add-ons as a recipient so your client can choose, see the price update, and accept. Track what they picked.

How your client chooses options on a proposal

Proposal options, add-ons, and how they affect pricing.

Options & Add-ons

Open a photo or a Handy image in Image Editor, make changes, add a reference image, remove an area, save the result to your project, and use it in a…

How to create and edit renderings in Image Editor

Create AI renderings in Image Editor and use visuals to present proposed work.

Image Lab & Renderings

Preview your proposal, then send it to your client by text, email, or a link you share. Resend or edit it after sending.

How to send a proposal

See the proposal page your client opens, the Give feedback, Decline, and Accept buttons, the read-only payment schedule, and terms they must accept.

What your client sees on a proposal

Require your client to sign before they accept a proposal. Turn it on for every new proposal in Presets, or add a Signature section to one proposal.

How to require a signature on a proposal

Add a Terms & conditions section from a saved template or your own text, and require your client to agree to it before they can accept.

How to add terms and conditions to a proposal

Choose how much pricing your client sees on a proposal, from every line item down to a single total, for one proposal or as your default.

How to hide line-item prices on a proposal

Set a reminder schedule for open proposals, turn reminders on or off when you send, and pause them on one proposal. Learn why a client may still get texts.

How to set up and stop follow-up reminders

Mark a sent proposal as approved yourself when your client agreed by phone, text, or in person. No client signature is recorded.

How to accept a proposal on behalf of your client

Fix a proposal your client didn't get. Check their email and phone on file, resend from the Send proposal dialog, or copy the link and send it yourself.

Client didn't receive the proposal email or text: how to fix it

Send proposals, the customer experience, terms and conditions, signatures, and approvals.

Sharing & Approvals

Collect the deposit and move an approved job into active management.

Deposits & Job Approval

Add a payment schedule to a proposal with a deposit due on approval, then turn that payment into an invoice after your client approves.

How to request a deposit with a payment schedule

Request the initial deposit, collect it, and track its status.

Requesting & Collecting Deposits

See what Handoff does automatically when a proposal is approved, what it leaves to you, such as the deposit invoice and schedule, and what to do next.

What happens after a proposal is approved

What happens after a proposal is approved and how the job moves into execution.
