How to Record a Meeting and Turn It Into Project Documents

Before you start

  • Make sure you have microphone access enabled for Handoff on your phone or desktop

  • You can record in-person walkthroughs, phone calls, or any client conversation

Step 1: Start a recording

  1. Open your project in Handoff

  2. Click on "Create" and then

  3. Tap "Record Meeting"

  4. The recording should start automatically

Step 2: Walk through the job

Just have your normal conversation — a client call, a site visit, a check-in. You don't need to follow a script or cover specific topics in any order. Handoff listens in the background and pulls out what's relevant.

The recording is tied to your project, so everything captured is in context.

The more detail in the conversation, the more complete your documents will be.

Step 3: Stop the recording

When you're done, tap Stop. Handoff will process the recording — this usually takes just a minute or two.

Step 4: Review your document

Once processing is complete, Handoff creates a document in your project containing an AI-generated summary of the meeting, organized and ready for reference. The raw transcript is also saved.

From there, you can convert the meeting into any document you need:

  • Scope of work

  • Estimate

  • Change order

  • Project notes

💡Tips for best results

  • Record in a reasonably quiet environment when possible;

  • Speak clearly when calling out specific items;

  • You can record multiple meetings on the same project — each one adds to the project record.
