How to connect Handoff to Zapier

Connect Handoff to Zapier, then build Zaps that create projects and contacts or react to proposals and paid invoices.

Written by Handoff Support

To connect Handoff to Zapier, go to Settings > Integrations & API keys and select Connect on the Zapier row. Zapier opens in a new tab, where you sign in and approve the connection with Handoff. You can then build Zaps that create Handoff projects and contacts, or that start when a proposal is sent or an invoice is paid.

Available on the Pro and Scale plans. You need permission to view Company settings and a free Zapier account. Works on desktop.

Connect Zapier

  1. Go to Settings > Integrations & API keys.

  2. On the Integrations tab, select Connect on the Zapier row.

  3. In Zapier, sign in or create an account.

  4. Start a new Zap and search for Handoff as an app.

  5. When Zapier asks you to connect your account, sign in to Handoff and approve access on the Connect with Handoff page.

The Zapier row in Handoff now shows Connected. To remove the connection later, select Disconnect on that row.

  • New Contact

  • Proposal Sent

  • Proposal Approved

  • Proposal Declined

  • Invoice Paid

Actions and searches Handoff offers in Zapier

An action makes a change in Handoff when your Zap runs.

  • Create Project

  • Create Contact

  • Create Project and Generate Estimate

  • Create Project With Document

Zapier also offers three searches: Find Project, Find Contact, and Find Estimate.

Example: create a project from a website form

  1. Create a Zap and choose your form tool, such as Wix, Squarespace, or Google Forms, as the trigger. Select New Form Submission.

  2. Choose Handoff as the action and select Create Project With Document.

  3. Map the form fields to Handoff fields, such as client name, email, phone, and project description.

  4. Test the Zap and confirm the project appears in Handoff.

  5. Turn the Zap on.

Zapier cannot find test data or a field is empty

If Zapier finds no test data, submit a real test entry through your trigger, then select Test trigger again. If a Handoff field is empty, check the field mapping in the action step. A field that was blank in your test data stays blank in Handoff.

For more control, the Handoff API gives you direct access without Zapier. See How the Handoff API works.
