How to ask Handy about your business

Ask Handy about overdue invoices, job profitability, budgets, and what to bill, and get an answer with the numbers and a suggested next step.

Written by Handoff Support

To ask Handy (Handoff's AI assistant) about your business, type a question in the chat box. Try "Which invoices are overdue?" Handy answers from the records already in your Handoff account, such as projects, proposals, invoices, and expenses. This is sometimes called Business Advisor.

Available on the Flex, Pro, Scale, and Business plans. Charts, follow-up buttons, Daily brief, and Insights are available on the Pro and Scale plans. Works on desktop and in the mobile app.

Where to ask

  1. On desktop, select Home, the first item in the navigation. In the mobile app, select the Handy tab.

  2. Type your question in the chat box, or select a shortcut.

  3. Read the answer and select a suggested follow-up if you want to go further.

On desktop, the shortcuts are pills under the chat box, such as Daily brief and Insights. Select More for the rest. In the mobile app, the shortcuts are rows above the chat box.

Your earlier conversations are under History on desktop and in the mobile app. In the mobile app, select New chat at the top to start over. Opening the Handy tab also starts a fresh conversation.

Questions Handy answers well

You can ask in your own words. These questions work especially well:

  • Overdue invoices: "Which invoices are overdue?" shows unpaid invoices that are overdue or had a failed payment.

  • Job profitability: "How profitable are my jobs?" compares budget, billed, collected, outstanding, and costs for each job.

  • Over budget: "Are any jobs over budget?" shows budget health for each job.

  • What to bill: "Which milestones can I bill?" shows payment milestones that are due for invoicing.

  • Expenses: "Which expenses need review?" shows expenses that are not confirmed or not mapped to the project budget.

  • Follow-ups: "Which proposals need follow-up?" shows sent proposals still waiting for a response.

  • What matters today: "What needs my attention today?" gives the highest-priority items across your business.

Handy can report what you have billed, collected, and what is outstanding or overdue. It does not forecast cash flow or show bank balances.

What an answer contains

Handy leads with the conclusion and the numbers behind it. When several records are worth comparing, the answer includes a chart. A short or empty result is a plain written answer.

Financial answers can link to the Handoff records behind them. Under Here's what you can do next: you get up to three suggested follow-up questions. Select one and Handy sends it as your next message.

Permissions and data quality

Handy only uses projects and records your role can access. If your role cannot see some of the data a question needs, Handy tells you the insight is unavailable with your current access.

Answers are only as complete as your records. Confirm expenses and map them to the project budget, send proposals through Handoff, and link invoices to projects so they count toward the right job.

When QuickBooks expense sync is on, expenses imported from QuickBooks can appear in answers. Imported expenses still waiting for review are kept separate from approved costs.

Plans

On every plan, you can ask Handy general questions about your business. On the Pro and Scale plans, Handy also builds answers with charts, follow-up buttons, and the ranked Daily brief, and you can use Insights. On other plans, Daily brief and Insights appear locked, and selecting one opens an upgrade prompt.
