How to import contacts

Import contacts from a file or from your phone, review the preview, and choose whether to skip duplicates.

Written by Sofia Herrera

To import contacts, go to Contacts, select the import icon, and choose a file. Handoff reads the file, shows a Contacts preview, and imports the contacts you keep.

Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Clients. Works on desktop and in the mobile app.

Import contacts from a file

  1. Select Contacts.

  2. Select the import icon (an upload arrow) in the top bar. On desktop, it is to the left of Add contact, and its tooltip reads Import contacts. In the mobile app, select Import from file in the menu that opens.

  3. Drag your file into Upload or drag your file, or select Browse files.

  4. Wait while Handoff shows Analyzing file….

  5. Review the Contacts preview, then import the contacts you want.

Handoff adds the contacts and shows Go to contacts.

Accepted file types and size

You can upload one file at a time, up to 5 MB. Handoff accepts these file types:

  • Spreadsheets: CSV and Excel

  • Documents: PDF, Word, and plain text

  • Images: photos and screenshots of a contact list

You don't need a template or specific column headings. Handoff reads each contact's name, company, email, phone, and address. It does not read contact type, referral source, or notes from the file.

Handoff skips rows that have no name.

Review the preview before you import

The Contacts preview has two steps.

  1. Select the contacts to import. Search by name, phone, or email, and use Select all or Deselect all. Then select Continue with N contacts.

  2. Check the type for each contact. Contacts import as Client by default. Select Change all to set one type for everyone, or edit a single contact to fix its name, business name, email, or address. Then select Import N contacts.

You can leave any contact out of the import by removing it from the list.

Duplicates in the preview

Handoff marks a contact as a duplicate when its email or phone number matches an existing contact. It also checks earlier rows in the same file. A matching name alone is not a duplicate.

Handoff holds duplicates back. They are not added unless you choose to add them. Select See duplicates to open Review duplicate contacts. Then choose one:

  • Skip duplicates: import only the new contacts.

  • Keep N contacts: import the duplicates too.

Import contacts from your phone

In the mobile app, select Contacts, select the import icon, then select Import from contacts. Handoff shows the same Contacts preview and duplicate review for your phone's contacts. This option is not available on desktop.

If your iPhone shares only some contacts, Handoff shows Only some contacts are shared. Select Manage selection to choose more.
