How to import a supplier price list into a catalog

Upload a supplier price list as a spreadsheet, PDF, image, or Word file and Handoff turns it into catalog rates your estimates can use.

Written by Dave Pucci

To import a supplier price list, go to Settings > AI Settings > Catalogs, select New catalog (New in the mobile app), and choose Import from file. Handoff reads the file and pulls out each item's name, price, and unit. You review the rates before they are saved.

Available on all plans. You need permission to edit AI settings. Works on desktop and in the mobile app.

What files you can import

You can upload any of these file types, up to 5 MB each.

  • Spreadsheets: CSV, .xls, and .xlsx

  • PDF

  • Images

  • Word documents (.docx)

  • Plain text

Your file needs these columns: Name, Price, and Unit of measurement. If the file doesn't look like a price list, Handoff tells you "This doesn't look like a price list" and doesn't import it.

Import a price list

  1. Go to Settings > AI Settings > Catalogs.

  2. Select New catalog on desktop, or New in the mobile app, then select Import from file.

  3. Upload your file. On desktop, drag it onto the upload area or choose it from your computer. In the mobile app, select Upload files to choose a file, or Choose photos to pick a photo.

  4. Wait while Handoff reads the file. This runs in the background.

  5. Review the rates on the Rates preview screen. Check names, prices, and units.

  6. Select the import button at the bottom. On desktop, it reads Import and the item count, such as Import 12 items. In the mobile app, it reads Import 12 rates.

When it works, you see "Your rates have been added to catalogs. They're now available for new estimates." The rates are active right away for estimates you create or update afterward.

To add a price list to a catalog that already exists, open that catalog and select Import rates instead.

Flex plans include 1 catalog, so a Flex account that already has an active catalog should archive it or import into it. Pro and Scale plans have unlimited catalogs.

Fix rows that can't be imported

Rows missing a price, a unit, or a type are held back on the Review Invalid Rates screen. Each row shows what is wrong: Missing rate, Missing UoM, or No type.

To open that screen, select Review invalid. Fix the rows there, or select Skip invalid to import only the rows that are complete.

What happens after the import

Handy (Handoff's AI assistant) checks your active catalogs first when it prices a line, so imported rates take priority over supplier and market prices. The rates stay editable. Open the catalog and edit any rate, including its Category, Line markup, Profit margin, and tax setting.

If you save rates without choosing a catalog, they go into a catalog called Ungrouped.
