How Handoff prices an estimate

Handoff prices each line from your request first, then your catalogs and presets, then supplier and local labor data. Learn what you can control.

Written by Handoff Support

Handoff prices each estimate line by checking your instructions first, then your saved catalogs and presets, and only then supplier and market data. The higher a source sits in that order, the more it wins when two sources disagree.

Available on all plans. To change catalogs, presets or your supplier, you need permission to edit AI settings. Works on desktop and in the mobile app.

The order Handoff uses to price a line

When Handy (Handoff's AI assistant) builds or edits an estimate, it uses the first source below that applies.

  1. Your request in the chat. If you write "use $100/hr for labor", that rate wins for that estimate.

  2. Data from files you upload, such as plans or specs.

  3. Your saved catalogs and presets. A catalog rate sets the price. A saved instruction in Presets can change how a line is labeled, its unit and its quantity.

  4. Handoff pricing data. Supplier prices for materials, local labor data, and Handoff's own default rates.

When you edit an existing estimate, the rates already on it count as part of your saved data. Handoff keeps them unless you ask for a change.

Where material prices come from

Material lines take their price from your catalog if a catalog rate matches the item. If none matches, Handoff can match the item to a Home Depot or Lowe's product and use that supplier price. Supplier matching skips lines that were priced from your own catalog.

If you turn on the ABC Supply, Ferguson Home, or Delta Faucet catalogs, Handoff can also match items to those suppliers. See How catalogs work.

Supplier pricing only runs when a supplier is turned on. Go to Settings > AI Settings > Catalogs, open the supplier card, and turn on Enable retail supplier pricing.

Only one retail supplier is active at a time. Your client never sees the store or brand, only the item title. Where neither your data nor a supplier match applies, Handoff fills the gap with its own local data.

Where labor prices come from

Labor lines use your own rate when you have one. That can be a catalog rate with the Labor category, a saved instruction, or a rate you type in the chat.

Without one, Handoff uses a location-based labor rate for the trade, built from the county of your price location. If it has no location to use, it falls back to a default of $75 per hour.

For the full detail, see How labor rates are set.

How your price location is chosen

Handoff uses the price location to localize labor, so set it before you generate an estimate. In the AI chat on the estimate screen, select Set price location and search for your location. In the mobile app, the button can show only a pin icon to save space.

If you do not set one, Handoff uses the first location it finds. It checks the chat, the estimate, the project (or the project's client), and then your device location. Device locations outside the United States are rejected with the message "Sorry, only locations in the United States are supported."

What you control

  • Rates: add your own prices in a catalog under Settings > AI Settings > Catalogs. See How catalogs work.

  • Rules: save instructions in Presets for wording, units and scope. See What Presets are and how they work.

  • Supplier: turn Enable retail supplier pricing on or off, or pick Home Depot or Lowe's.

  • Markup and tax: set defaults in Presets, then adjust on each estimate.
