How to set tax on an estimate

Add one tax rate to an estimate from the breakdown, choose whether it applies to labor, material or both, or set a default in Presets.

Written by Dave Pucci

To add tax to an estimate, open the estimate, select Show breakdown on desktop or See breakdown in the mobile app, and select Add on the Tax row. Enter a title and a rate, then choose what the tax applies to. In the mobile app, select Save.

Available on all plans. You need permission to edit AI settings to change default tax. Works on desktop and in the mobile app.

Each estimate has one tax rate. It can apply to labor, material or both.

Add tax to one estimate

  1. Open the estimate. Select Show breakdown on desktop or See breakdown in the mobile app.

  2. In the Below the line markup section, find the Tax row and select Add.

  3. Enter a name in Title, such as Sales Tax.

  4. Enter the percentage in Rate.

  5. Next to Apply to:, choose Both, Material or Labor.

  6. In the mobile app, select Save. On desktop, there is no Save button, and the tax saves as you leave a field or choose an Apply to: option.

The Tax row now shows your rate and the tax amount, and the Estimate total updates. The rate must be between 0% and 100%.

Change or remove the tax on an estimate

To change the tax, select the rate on the Tax row and edit the fields. In the mobile app, select Save. On desktop, changes save as you go. To remove it, select the rate, then select the trash icon. On desktop, its tooltip reads Delete tax rate. In the mobile app, the trash icon is in the header of the sheet.

Leave a single line out of tax

Tax is calculated only on lines that are marked taxable, and every line is taxable by default. To exclude one line, open its item form and turn off Apply taxes.

Set a default tax for new estimates

  1. Go to Settings > AI Settings > Presets.

  2. Open the Estimates tab and expand Basic estimate presets.

  3. Select Tax.

  4. Choose Set default tax and enter Tax title, Tax rate and Apply to:.

  5. Select Save presets.

Choose Use last used values instead to copy the tax from your most recent estimate. New accounts start with this option, and with 0% tax until you set a rate.

What the estimate supports

An estimate holds one tax rate, with one title. If your jobs need a combined rate, type the combined percentage into Rate and name it in Title. Tax is applied after markups and any discount.

To hide the separate tax line from your client, turn on Hide tax on proposal in Presets > Proposals > Proposal format. Tax stays in the total.
