What Presets are and how they work

Presets store your default markups, tax, and written rules so Handoff applies them to every new estimate, proposal, change order, and document.

Written by Handoff Support

Presets are the saved defaults and written rules Handoff applies every time it builds an estimate, proposal, change order, or document for your company. You set them once in Settings > AI Settings > Presets.

Available on all plans. You need permission to view AI settings to see Presets, and permission to edit AI settings to change them. Works on desktop and in the mobile app.

What Presets control

Each tab holds two kinds of presets: default settings and written instructions.

  • Default settings are numbers and choices, such as markups, below the line markups, and tax. They sit in a collapsible section named "Basic estimate presets" (or "Basic change order presets" on the Change Orders tab).

  • Written instructions are plain-language rules, such as "Add 10% waste to tile." They appear as a list below the default settings, with a New button. On desktop, New sits beside the search box. In the mobile app, New is the button at the bottom of the screen.

The Proposals tab also holds proposal defaults. These are the proposal format, Require signature, Offer financing, Payment schedule, and which client message and Terms & conditions templates to use.

Where Presets live

Open Settings > AI Settings > Presets. It has five tabs.

  • Estimates

  • Proposals

  • Documents

  • Change Orders

  • Schedules

Each tab applies only to that type of record.

The Estimates tab also has a switch named "Use plan mode when creating an initial estimate". It lets you review the scope and decisions before Handy (Handoff's AI assistant) creates the estimate.

How written instructions are applied

Handoff includes every enabled instruction when it generates an estimate, and it records which instructions an estimate used. You don't pick a preset by name in your prompt. Instructions have an optional Label for your own reference only.

A new instruction starts disabled. Handoff analyzes it, then turns it on if it is clear and doesn't conflict with another instruction. If it is flagged, you can review it and choose Enable anyway.

How Presets differ from catalogs and templates

Presets hold your defaults and rules. Catalogs hold your prices. Templates hold reusable content and layout, such as client messages and terms.

If you tell Handy a one-time instruction in an estimate chat, it applies to that estimate only. A saved instruction applies to every new estimate.

Set your default markups, tax, or below the line markups

  1. Go to Settings > AI Settings > Presets.

  2. Open the Estimates tab and expand "Basic estimate presets".

  3. Select Markups, Below the line markups, or Tax.

  4. Choose Set default markups (or Set default tax) to enter your own values, or choose the "last used" option to reuse your most recent estimate.

  5. Select Save presets.

Your new estimates start with those values. Changes are not saved until you save them in the dialog.
