How to teach Handoff your estimating preferences (AI instructions)

Write AI instructions in Presets so Handoff follows your estimating rules on every new estimate, and learn how instructions are checked and enabled.

Written by Handoff Support

To teach Handoff a standing estimating rule, add an instruction in Settings > AI Settings > Presets > Estimates and select New. Handoff checks the instruction and, if it is clear and doesn't conflict with another, turns it on for your next estimate.

Available on all plans. You need permission to edit AI settings to add or change instructions. Works on desktop and in the mobile app.

Add an instruction

  1. Go to Settings > AI Settings > Presets.

  2. Open the Estimates tab.

  3. Below "Basic estimate presets", select New. In the mobile app, New is the button at the bottom of the screen.

  4. Optional: enter a Label to find the instruction later.

  5. In Instructions, type the rule, for example "Always use engineered hardwood flooring" or "Add 10% waste to tile."

  6. To apply the rule to change orders too, turn on Also use for Change Orders.

  7. Select Analyze instruction.

Handoff reviews the instruction and shows a result. If it passes, the instruction becomes Active.

What instructions cover and who sees them

Instructions belong to your company, not to one user. Everyone in your organization shares them, and every enabled instruction is used on new estimates. The Proposals, Documents, and Change Orders tabs hold their own instructions in the same way.

Numeric defaults are not instructions. Set Markups, Below the line markups, and Tax in "Basic estimate presets", then select Save presets in the dialog.

How Handoff checks and enables an instruction

A new instruction is saved disabled. Handoff turns it on automatically only when the analysis finds it clear and it doesn't conflict with another enabled instruction.

The result shows in the dialog and as a status on the instruction card.

  • This instruction is clear and supported: it can be enabled.

  • Needs review: the wording is unclear. Select Apply suggestion to accept Handoff's rewrite, or edit it and select Reanalyze instruction.

  • Not supported: Handoff can't apply that kind of rule, and the result says what you can do instead.

  • Conflicting: it contradicts another instruction. Select View conflicting instruction, Disable previous one, or Keep it disabled.

If you disagree with a warning, select Enable anyway (or Ignore conflicts) to turn the instruction on yourself. Conflicting instructions can lead to unpredictable estimates, so disable one of them when you can.

Turn an instruction off, edit it, or delete it

  1. Go to Settings > AI Settings > Presets and open the tab.

  2. Find the instruction card. In the mobile app, use the filter to show All, Active, or Inactive instructions. On desktop, use the search box.

  3. To edit the instruction, select the card, change the text, and save.

  4. To turn it on or off, open the card menu and select Enable or Disable.

  5. To remove it, open the card menu and select Delete.

The card shows Active or Disabled. The menu has no edit option, and Enable or Disable can be missing while an instruction is being analyzed.

Save a preference from the estimate chat

When you tell Handy (Handoff's AI assistant) a lasting preference in chat, Handy can save it as an instruction and shows a card with its status. It is disabled until analysis passes, just like an instruction you add yourself. A rule you type for one estimate only affects that estimate, and it overrides a saved instruction there.
