What Templates are and how they differ from Presets

Templates store reusable documents, client messages, terms and conditions, and daily logs. Presets store your rules and defaults.

Templates are reusable pieces of content that you write once and reuse. Examples are a client message, your terms and conditions, a document, or a daily log. You manage them in Settings > AI Settings > Templates.

Available on the Pro, Scale, and legacy Business plans. Templates are not available on Flex. Works on desktop and in the mobile app.

What each Templates tab holds

The Templates screen has four tabs.

  • Documents: reusable document layouts.

  • Client messages: messages for a proposal, a change order, or an invoice.

  • Terms & conditions: your standard terms.

  • Daily logs: reusable daily log layouts. Daily logs also need a plan that includes daily logs (Pro or Scale).

How Templates differ from Presets

Templates hold content you reuse. Presets hold the rules and defaults Handoff follows.

For example, the text of your standard client message for proposals is a template. The setting that says which template to use on every new proposal is a preset. Markups, tax, proposal format, signature requirement, financing, payment schedule, and written AI instructions are all Presets, not Templates.

Choose a default template for proposals and change orders in Settings > AI Settings > Presets > Proposals. Use Client message template for proposals, Client message template for change orders, and Terms & conditions template. The default can be set to "No template applied".

Create a template

  1. Go to Settings > AI Settings > Templates.

  2. Open the tab for the kind of template you want.

  3. Select New. On desktop, it is in the toolbar above the list. In the mobile app, it is the button at the bottom of the screen.

  4. For a client message, choose Proposal, Change order, or Invoice when asked to select the client message type. For a document, choose or add a document type.

  5. Select Create template.

  6. Write your content in the editor and save it.

The new template appears as a card on the tab.

Manage your templates

Each template card has a menu with Edit, Duplicate, Set as default (or Unset as default), Change type, and Delete. The template marked Default is the one Handoff uses first. You can keep several templates of the same kind.
