How catalogs work

A catalog is a saved list of your rates. Handy checks your catalogs first when it prices an estimate, so your numbers win over market data.

Written by Sofia Herrera

A catalog is a saved set of your own rates for materials, labor, and services. When Handy (Handoff's AI assistant) prices an estimate, it uses your catalog rates instead of generic market numbers.

Available on all plans. You need permission to view or edit AI settings. Works on desktop and in the mobile app.

What a catalog holds

A catalog is a group of rates. You can keep one catalog for everything or split them by trade, job type, or supplier.

Each rate has these fields.

  • Rate title: the name of the item, such as "Install drywall per sq ft".

  • Cost: the price per unit.

  • Unit: the unit of measure, such as sq ft, each, or hour.

  • Category: Material, Labor, Labor + Material, or Other.

  • Description: optional.

Under Extra presets you can also set these for a single rate.

  • Line markup: a percent or fixed amount.

  • Profit margin: must be under 100%.

  • Apply taxes: a tax setting for that rate.

How Handy uses your catalogs

When Handy builds an estimate, it looks for each line in your active catalogs by meaning, not exact wording, and uses the matching rate. Archived catalogs are skipped.

Only what you type in the chat and numbers in files you upload outrank your catalog rates. For the full order, see How Handoff prices an estimate.

Material lines priced from your catalog are not repriced by supplier matching. Supplier prices only fill in lines your catalogs don't cover.

To control catalogs for one estimate, open the estimate and select the catalogs badge to open the Applied catalogs drawer. You can turn off a catalog for that estimate, then select Update estimate. On desktop, the badge reads No catalogs applied when none are in use. In the mobile app, the badge shows an icon only.

Supplier catalogs

Handoff also keeps supplier catalogs: live product data and prices from suppliers, alongside the catalogs you build yourself. On the Catalogs screen you see them as supplier cards above your own catalogs.

  • Home Depot and Lowe's (retail materials): pick one as your default store. Connecting a Pro account is optional.

  • ABC Supply (roofing, siding, and exterior products): connect your ABC Supply account, then choose a ship-to and branch.

  • Ferguson Home (plumbing, HVAC, and jobsite supplies): select Enable on its card.

  • Delta Faucet (kitchen, bath, and commercial plumbing fixtures): select Enable on its card.

Supplier cards say "Updated daily", except Delta Faucet, which says "Updated monthly". A card shows Connected, Active, Disabled, or Login Required. Your own catalog rates still come first, and supplier catalogs fill in the lines your catalogs don't cover.

To pick your default store, see How to choose your default supplier. To connect ABC Supply, see How to connect ABC Supply to Handoff.

Catalogs per plan

  • Flex: 1 catalog

  • Pro, Scale, and the free trial: unlimited catalogs

Legacy Business plans have unlimited catalogs. Legacy Starter plans and accounts without an active subscription can't create catalogs.

Archived catalogs and the automatic Ungrouped catalog don't count toward the limit. On Flex, archive your catalog to free the slot. If you hit the limit, you see Catalog Limit Reached with an option to upgrade to Pro.

Create a catalog

  1. Go to Settings > AI Settings > Catalogs.

  2. Select New catalog on desktop, or New in the mobile app.

  3. Choose Import from file to upload a price list, or Create manually to enter rates one at a time.

  4. For a manual catalog, enter a Catalog title, optionally a Description, and select Create catalog.

  5. Inside the catalog, select Add manually if it is empty. Otherwise select New rate on desktop, or New in the mobile app. Then fill in the rate form.

The catalog appears in the list with an Active badge. For file imports, see How to import a supplier price list into a catalog.

Archive a catalog

Open the catalog menu and select Archive catalog. Archived catalogs stay saved but Handy stops using them. To find one, select Archived at the top of the list on desktop, or the archive icon (Show archived) in the mobile app. Then open it and select Unarchive catalog to bring it back.
