Client didn't receive the proposal email or text: how to fix it

Fix a proposal your client didn't get. Check their email and phone on file, resend from the Send proposal dialog, or copy the link and send it yourself.

Written by Handoff Support

If your client didn't get the proposal, check the email address and phone number saved on their contact, then resend it from the Send proposal dialog. If it still doesn't arrive, copy the proposal link and send it to them yourself.

Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Estimates. Works on desktop and in the mobile app.

The email or phone number on file is wrong or missing

Handoff only sends to the Email and SMS (text) details saved on the client's contact. In the Send proposal dialog, a missing detail shows as "No email on file" or "No phone number on file", or as an Add an email or Add a phone number button.

Handoff rejects an email address that isn't in a valid format, and a phone number it can't read as a valid number. Enter the phone number as a complete 10-digit US number.

To fix it, open the client's contact, correct Email or Phone, and select Save changes. Then resend the proposal.

The proposal went to spam or promotions

A proposal email can land in the client's spam, junk, or promotions folder. Ask your client to search their inbox and those folders for the proposal's title or your company name.

If they find it, ask them to mark it as not spam so future proposals arrive in the inbox.

The text didn't come through

Proposal texts come from a Handoff number, not from your own phone, and the client can't reply to them. If the client doesn't see the text, send the proposal by Email as well, or copy the link as described below.

You sent to more than one person and one didn't get it

When you send a proposal to several contacts, Handoff shows Sent successfully as long as at least one email or text went through. A contact with no email or phone on file, or an address Handoff couldn't send to, can still be missed.

Open the Send proposal dialog, check that each person has the right Email or SMS detail, and resend to the person who didn't get it.

Resend the proposal

  1. Open the proposal.

  2. Open the Send proposal dialog. On desktop, select Resend in the page header. In the mobile app, select the send icon (a paper plane), or open the options menu (⋮) and select Resend.

  3. Tick SMS, Email, or both for each recipient.

  4. Select Send.

Resend opens the dialog again, so you can choose the delivery method again and switch from text to email. Handoff shows Sent successfully when at least one email or text went through.

Send the proposal link yourself

If resending doesn't work, copy the link and send it from your own phone or email. After the proposal has been sent, you can get the link in either of two places.

  • In the Send proposal dialog: Select Share. On desktop, it copies the link and shows Link copied to the clipboard. In the mobile app, it opens your phone's share options.

  • From the options menu: Open the options menu (⋮) on the sent proposal and select Share. It copies the link on desktop and opens your phone's share options in the mobile app.

Paste or share the link in a text or email to your client.

Check that Handoff is sending

To confirm Handoff is delivering, send a test proposal to yourself. Add your own email and phone number as the client, send it by Email and SMS, and check that both arrive. If both reach you, the problem is on your client's end, so use the steps above.
