To send a proposal, open the estimate, go to the Proposal tab, select Preview to check it, then select Send and choose SMS, Email, or Share. Your client gets a link to the proposal and doesn't need an account or the app.
Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Estimates. Works on desktop and in the mobile app.
Preview and send a proposal
Open the estimate and select Proposal in the Estimate and Proposal switch at the top.
Select Preview to see the proposal as your client will. On desktop, Preview is in the page header. In the mobile app, it is the Preview button in the bottom bar.
Select Send. On desktop, Send is in the page header next to Preview. In the mobile app, select the send icon (a paper plane) next to Preview.
If the proposal has no client yet, Handoff asks you to assign one first. Pick the client, and the Send proposal dialog opens.
If Handoff shows Send with empty sections?, select Continue to send anyway, or Cancel to fill the sections in. Empty sections don't appear on the proposal.
In the Send proposal dialog, tick SMS, Email, or both for each recipient.
Select Send.
Handoff shows Sent successfully and the proposal's status changes to Sent. Sending also moves the project to Bidding if it was in an earlier status.
If the project's client portal is turned on, Send opens a short menu instead. Choose Send proposal to open the dialog, or Share to portal to put the proposal in the client portal.
An older proposal in the mobile app may show Preview & send in the bottom bar instead. It opens the same Send proposal dialog.
Copy the link or open your share options instead
To send the link yourself, use the Share row in the Send proposal dialog. On desktop, Share copies the link and shows Link copied to the clipboard. In the mobile app, it opens your phone's share options so you can pick a text or email app.
With several recipients, each person has their own Copy link for action, so every link is tracked to the right person.
Share doesn't send a text or email. Copying a link still marks the proposal as Sent.
What your client receives
Handoff writes the text and email, and you can't edit the wording in the dialog. To add your own message, put it in the client message at the top of the proposal.
SMS: "Hey" and the client's name, then "you have received a new proposal from" your business name, with the link. The text comes from a Handoff number, and your client can't reply to it.
Email: A proposal email with the link. Replies go to your email address.
Your client opens the link in any web browser. See What your client sees on a proposal.
Send to more than one person
To send one proposal to several people, add each one under Prepared for in the proposal's Header section by selecting Add contact. Each person gets their own link and picks SMS, Email, or both. You can add up to 20 recipients.
Sending to more than one recipient is available on the Pro and Scale plans. On other plans, a proposal goes to one recipient.
If the proposal requires a signature, each recipient is also a signer.
Resend, share again, or edit a sent proposal
After the first send, Send reads Resend.
Open the proposal. On desktop, select Resend in the page header. In the mobile app, select the send icon, or open the options menu (⋮) and select Resend.
In the Send proposal dialog, choose SMS, Email, or Share again.
Select Send.
Resend doesn't repeat the earlier delivery. You choose the method each time.
To change a sent proposal, open the options menu (⋮) and select Edit. Editing replaces the version your client already has, so their old link can't accept or decline it. Send the proposal again when you finish.
