Follow-up reminders text or email your client about a proposal they haven't answered. Set the schedule once in Settings > Follow-up reminders, choose whether to use it each time you send, and pause it on one proposal from the Follow up reminders dialog.
Available on the Pro and Scale plans. Works on desktop and in the mobile app.
Set your reminder schedule
Go to Settings > Follow-up reminders.
In the Proposals section, turn on the switch at the top.
Select Add reminder.
In Reminder settings, choose the Days after sending, how to deliver it under Send via (Email, SMS, or Email & SMS), and an optional Message.
Select Save.
Repeat for more reminders. You can have up to 5 for proposals. On desktop, Proposals and Invoices sit side by side. In the mobile app, they are stacked.
The first time you turn reminders on, Handoff adds a default schedule: an SMS 1 day after sending, an email 3 days after, and an email and SMS 7 days after. Reminders go out between 9:00 AM and 8:00 PM in the project's time zone.
Reminders go to your client, not to you.
Choose reminders when you send a proposal
Open the proposal and start to send it. See How to send a proposal.
In the Send proposal dialog, find Enable automatic reminders. It is on by default when your reminders are on.
Read the schedule shown under it. Turn the switch off to send without reminders.
Select Customize reminders to change your schedule, or Create reminders if you haven't set one up.
Select Send.
Handoff saves the schedule at the moment you send. Later changes to your settings affect only proposals you send afterward. Reminders aren't available when you schedule a send for later.
Pause or resume reminders on one proposal
Open the proposal.
On desktop, select Follow up reminders (N) in the page header. In the mobile app, open the options menu (⋮) and select Follow-up reminders (N).
In the Follow up reminders dialog, select Pause follow-up reminders.
The dialog shows "Reminders are paused." To turn them back on, open the dialog and select Resume follow-up reminders.
The button appears once a reminder is scheduled, paused, or sent. The dialog lists each reminder as Scheduled, Paused, Skipped, or sent, with an Opened badge when your client opened the link.
To stop reminders for every proposal, turn off the switch in the Proposals section of Settings > Follow-up reminders. You can also ask Handy (Handoff's AI assistant) to pause, resume, or send a reminder now.
When reminders stop on their own
Handoff stops a proposal's reminders when your client approves it, declines it, or you cancel it. This is also true when you mark the proposal approved yourself. Handoff checks the proposal's status again just before each reminder goes out, so a reminder doesn't send after approval.
Why your client may still get texts after approving
If your client still gets texts after they approve, one of these is usually the reason:
The deposit invoice has its own reminders. An invoice you sent has a separate schedule that runs until it is paid. Pausing or stopping the proposal's reminders doesn't change it. Ask which text your client got.
The proposal has several signers. A proposal stays Sent until every required signer has signed, so reminders keep going until then.
Your client only gave feedback. Give feedback doesn't stop reminders. Approving or declining does.
