Client can't open or pay an invoice: how to fix it

Fix an invoice your client can't open, didn't receive, or can't pay. Check contact details, resend or share the link, and turn on online payments.

Written by Handoff Support

If your client can't open or pay an invoice, check their email and phone on file, then select Resend. If there is no Pay now button, online payments aren't turned on or the invoice can't be paid online.

Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Invoices. Works on desktop and in the mobile app.

The client didn't get the email or text

Handoff sends to the Email and SMS details saved on the client's contact. In the Send invoice dialog, a missing detail shows Add an email or Add a phone number. Handoff also rejects an invalid email or phone number.

Correct the contact, then open the invoice and select Resend. If a recipient couldn't be reached, Handoff shows "Invoice sent, but 1 recipient could not be reached".

Texts come from a Handoff number and your client can't reply to them. Emails can land in spam, so ask your client to check that folder.

The link says the invoice was not found

If your client sees "Invoice not found or this link has expired", the link no longer works. This happens when you deleted the invoice, or moved it to a different project.

Select Resend to send a fresh link, or use Share to copy one. If you deleted the invoice, create it again.

There is no Pay now button

Your client only sees Pay now when the invoice can be paid online. The button is missing in these cases:

  • Online payments aren't active: Your client sees the invoice and can pay by check. Log the payment when you receive it. See How to set up online payments.

  • The invoice is paid or processing: A bank transfer takes longer than a card payment. The invoice shows Processing first and Paid when it clears.

  • The invoice came from QuickBooks: Invoices imported from QuickBooks can't be paid online in Handoff. See How QuickBooks sync works.

You can send invoices without connecting a bank account. See Can I send invoices without connecting my bank account?

Pay now shows an error

"Payments are currently unavailable, try again later" means Handoff can't take online payments on your account right now. Ask your client to try again later, or collect by check and log the payment.

If your client sees "Something went wrong. Please check your payment status before retrying", ask them to wait before paying again, so they aren't charged twice. Check the invoice status to see if the payment went through.

The client sees something different than you sent

If you edit a sent invoice, the change shows on your client's existing link right away, even if you don't resend it. Tell your client when you change an amount.
