To record a payment you received outside Handoff, open the invoice and select Log manual payment. To close out an invoice in one step, open the three-dot menu and select Mark as paid.
Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Invoices. Works on desktop and in the mobile app.
Log a manual payment
Open the invoice.
Select Log manual payment.
Enter a Title and choose the Method: Check, Cash, or Other.
Enter the Amount. It can't be more than the balance left.
Add a Reference/Check # if you have one, and choose the Date received.
Select Log payment.
Handoff shows "Manual payment logged successfully" and adds a payment card to the invoice. To fix a mistake, select Edit or Delete on that card.
You can log a payment on a draft or a sent invoice. Your client sees logged payments as Previously paid on the invoice.
Record a partial payment
Log each payment you receive. Every payment lowers the balance, and your client sees Previously paid in the totals. The invoice shows Partially paid while a balance remains.
When logged payments add up to the invoice total, the invoice changes to Paid on its own. There is no limit on how many payments you can log.
Mark an invoice as paid
Use Mark as paid when the client paid the whole invoice some other way.
Open a sent invoice and select the three-dot menu.
Select Mark as paid.
Choose Check, Cash, App (Zelle, CashApp, etc), or Other, and pick the Date.
Select Done.
To undo it, open the three-dot menu on the paid invoice and select Mark as unpaid. Mark as paid isn't offered for invoices your client paid online.
What each invoice status means
Draft: You haven't sent it yet.
Scheduled: It will be sent on the date you picked.
Unopened: You sent it and your client hasn't opened it.
Opened: Your client opened the link.
Partially paid: You logged some payments and a balance remains.
Processing: An online payment has started, such as a bank transfer.
Failed: An online payment didn't go through.
Paid: The invoice is fully paid.
Overdue: The invoice is unpaid and its due date has passed.
Overdue only applies to invoices with a due date you picked. An invoice due On receipt or On completion never becomes overdue. On the mobile app's invoice list, an overdue invoice shows its date in red with a clock icon.
