An invoice bills a fixed amount or itemized rows from an estimate. You can also add a message, attachments, a due date, a discount, tax, and terms, and your client sees all of it on one page.
Available on the Flex, Pro, Scale, and Business plans. You need permission to edit Invoices. Works on desktop and in the mobile app.
Fixed amount or itemized rows
In the Source section of the invoice, Type sets how the invoice is billed.
Fixed amount: A lump sum. Enter the Amount in dollars, or switch to a percentage of the estimate's total, such as 50%. Your client sees "Flat amount" or "50% payment".
By group: Itemized rows from the estimate. Select the groups or rows you want to bill, or use Select all.
If the invoice has no estimate, add your own rows with Add row > Add item or Add section. On desktop, edit a row in the table. In the mobile app, select a row to edit it, and swipe it to select Delete item.
Message, attachments, and terms
Message to client: A note your client sees as Message. Handoff writes a first draft from your default invoice template, and you can change it or pick another from Invoice messages.
Attachments: Add photos, videos, audio, PDFs, spreadsheets, and other files, up to 200 MB each. Your client sees them on the invoice. Attachments belong to the whole invoice, not to a single line item.
Terms & Conditions: Select Add terms & conditions, or Choose other terms. An invoice from a proposal uses that proposal's terms.
Due date, discount, and tax
Set the Due date to On completion, On receipt, or Pick a date. New invoices default to On completion. Your client sees "Due on completion", "Due on receipt", or the date.
In the totals box, select Add next to Discount to enter a percentage or a fixed amount. Select Add next to Tax to enter a Title and Rate. On an invoice from an estimate or proposal, you can also choose whether tax applies to Material, Labor, or Both.
Handoff doesn't have credits or retainage fields. Use a discount to lower the total.
Bill a job in stages
To bill a job in stages, create several invoices against the same approved proposal. Each one can be a percentage with Fixed amount, a row from the payment schedule, selected groups, or the remaining balance with Invoice remaining.
Invoices from a proposal show Job total and Remaining to invoice, so you can see how much is left. See How to create and send an invoice for each way to start one.
