Customize Project Status

Organize your projects your way. Customize status to match how you actually build.

What are project phases?

Project status lets you track where every project stands in your workflow from first contact to final payment. Handoff gives you a default set of statuses out of the box, and with this feature, you can fully customize them to match how your business actually runs.

Every board starts with these statuses:

  • Lead

  • Draft

  • Bidding

  • Approved

  • In Progress

  • Completed

  • Archived

    You can rename, recolor, reorder, or delete any of these and add your own.

How to Customize Your Board

To customize your board, you must be an admin of the organization.

  • Click on the gear icon to go to "Settings" and access the shortcut on your on "Projects board"; OR

  • Click on the shortcut icon from your "Projects" page.

What you can do

1. Add a new status

  • Click "Add status" to add a new step to your project board. Give it a name and pick a color. New statuses appear at the top of your list by default.

Limits: Up to 15 phases per organization.


​You can also select a color for your phase by clicking on the color through settings or directly through the board.

2. Reorder statuses

  • Click the icon on the left next to any status to drag and drop where they are ordered on the board. The first status is the first one on the board, and so forth.

Pro tip: The same icon exists on your board; you can reorder phases directly through there as well.

3. Rename or delete a status

You can rename or delete any status on your board. If a status has projects, you'll be prompted to move them to another status before deleting. You'll also need to update any automations pointing to that status first.

4. Automations

Handoff will automatically move projects to a specific status when key events happen. You can configure which status each event targets:

Event

Default status

New project created

Lead

Proposal sent

Bidding

Proposal approved

Approved

To change an automation target, you can select a new status on your Board settings page.


Who can manage project statuses?

Only users with Company Settings edit permissions can create, rename, reorder, or delete status.


Plan availability

Project status customization is available on Pro and Scale plans.
