How to send emails and client links from your own domain

Put your web address on client links and your name on client emails by connecting a domain you own from Company settings.

Written by Handoff Support

To send from your own domain, open Settings > Company settings, find the Custom Domains card, and select Set up. Client links then use your web address, and client emails can come from your company's address.

Available on the Scale plan. You need a role with custom domain access, which Admins have by default. Works on desktop and in the mobile app.

What changes

  • Links: proposals, invoices, the Client Portal, and Sub & Vendor portal links use an address like share.yourcompany.com. Links you shared earlier keep working.

  • Emails: clients, subs, and vendors get emails from an address such as [email protected]. Replies still reach your company email.

Text messages are not affected. Set up links first, because email setup is locked until links are connected.

Connect your links

  1. Open Settings. On desktop, select your company logo and name at the bottom left, then select Settings. In the mobile app, select the button at the top left that shows your logo or business initials, then select Settings.

  2. Select Company settings, then select Set up in the Custom Domains card. Once something is set up, the button reads Manage.

  3. Under Links, select Set up, enter your Domain, and select Continue. Handoff checks the domain and shows any problem to fix first.

  4. If your domain's DNS is on Cloudflare and you are in a web browser, select Continue to Cloudflare and approve the record. In the mobile app, or with another DNS provider, select Set up manually instead.

  5. For manual setup, copy the records shown (a CNAME and a TXT) into your DNS provider, save, then select Submit for review.

Handoff checks the records automatically. The screen shows {your domain} is connected when links are ready.

Set up email

  1. In the Custom Domains card, select Manage.

  2. Under Emails, select Set up and enter a Sender address, such as hello. It doesn't need to be a real inbox.

  3. Add the three DNS records shown at your DNS provider, then select Submit for review.

  4. Enter an address under Send the test to and select Send test email.

  5. When the test arrives, select Turn on sending.

What each status means and how to disconnect

  • Setup required: nothing is connected yet. Select Set up.

  • In review: Handoff is checking your records. This usually takes a few minutes, but DNS changes can take longer. Select Check again.

  • Connected: links and email are both live.

  • Partially connected: only links or only email is live. Select Manage to finish the other.

  • Needs attention: a check failed. Open Manage, select Fix setup, and confirm your DNS records are still in place.

If your records stay broken for a few hours, your links are served from Handoff's address again. They recover when the records return. Email stays off until a new test email passes.

To disconnect, select Disconnect under Links or Emails. Disconnecting links also disconnects email, and links already sent on that domain stop working.

Send branded emails without a domain

In Company settings > Brand > Emails, turn on Send emails with your own branding. Clients then see your company name, logo, and brand color, with no mention of Handoff. If your email domain is already connected, this switch is on and locked.
