How Options and Add-ons work in estimates and proposals

Let your client choose between alternatives and optional upgrades on a single estimate.

Overview

Options and Add-ons let your client choose between alternatives and add optional upgrades within a single estimate. For example, they can choose marble, quartz or granite countertops and decide whether to include an optional upgrade.

Your client makes their choices in the proposal, and the total updates as they go. When they accept, their choices are locked in and carried over when you create an invoice from the approved estimate.

Creating Options and Add-ons is available on the Scale plan.

Three types of line items

Every item on your estimate has a Client choice setting:

  • Included: The default. The item is part of the job, and the client cannot change it.

  • Add-on: An optional extra the client can check to include or leave unchecked. Add-ons display an additional price on the proposal, such as + $1,200.

  • Options: A group of 2 to 5 alternatives for the same item. The client chooses exactly one. Each alternative shows its own price for comparison.

How to use Options and Add-ons

  1. Set up the estimate. Turn line items into Options or Add-ons and set their prices.

  2. Send the proposal. Your client reviews the alternatives and optional upgrades, makes their choices and sees the total update.

  3. Review the approved choices. When your client accepts, their choices are locked in. The chosen option and each included add-on are marked Selected in your estimate.

  4. Create an invoice. An invoice created from the approved estimate includes Included items, chosen options and selected add-ons.

Additional notes

  • Use one estimate for multiple choices. You do not need a separate estimate for every combination of alternatives and upgrades.

  • Only included choices count toward the total. Unselected options and unchecked add-ons remain visible but are excluded from the total.

  • Totals update automatically. When a choice changes, Handoff recalculates the total, including markup, tax and payment amounts.

  • Approved choices are available in the Client Portal. Your client can view the approved proposal and their choices.

  • Existing Options and Add-ons keep working if your plan changes.

Line item options vs. multiple estimate options

Options apply to individual line items within one estimate. Use multiple estimate options when you want to offer different versions of the entire job, such as a Good, Better and Best scope.
