How to request bids from subs and vendors

Send a bid request with a scope of work to subs and vendors, compare their bids, award one, and carry the result into your estimate or budget with Handy.

Written by Dave Pucci

To request bids, open the Sub & Vendor portal page on your project and select New bid request. Fill in the details, attach a Scope of Work document, choose your bidders, and select Send. Subs reply from the Bids tab of their portal.

Available on the Scale plan. You need permission to edit Projects and Clients. Works on desktop and in the mobile app.

Create a Scope of Work document

A scope of work gives bidders the details of the job. Create it from an estimate:

  1. Open the estimate and select Convert to > Scope of Work.

  2. Choose Single scope of work or Separate scopes by trade. Separate scopes work best when sending to several trades.

  3. Select the option to create it. Handy (Handoff's AI assistant) generates the scope from your estimate using your template.

You can also create one while building the request, as described below.

Send the bid request

  1. Open the project, then select Sub & Vendor portal.

  2. Select New bid request.

  3. Enter a Bid request title and choose a trade or category.

  4. Select a future Due date.

  5. Under Document, select Add document, then pick your scope of work. You can select Create scope of work instead.

  6. Under Licenses and documents, add anything bidders must provide, such as a State license or Certificate of insurance (COI).

  7. Under Bidders, select Select bidders and choose up to 100.

  8. Select Preview > Send.

Handy reads the attached document and fills in the trade, title, and project details. The request saves as a draft while you work.

Bidders who aren't on the portal yet are invited automatically. A dialog called Send bid request tells you when that will happen.

How subs reply

Each bidder gets an email and text. In the Bids tab, they open the request, read the scope of work, and enter a Total price, notes, and attachments.

They select Submit bid or Decline bid, after uploading every required document.

A bidder can submit a revision, which replaces their earlier bid. After the due date, they can't respond.

Review and award bids

The Bidding card on the portal page lists each request with its due date, bidders, responses, and status. Open a request to compare bids.

The detail screen shows an AI summary and a comparison of Total bid, Licenses, and Submission date, with a Best bid badge. For each bidder you can select View response, Award, Request revision, or Decline. You can also select Send reminder, Add bidder, or Extend deadline.

Select Award to pick a winner, with optional messages to the winner and the other bidders.

Move the winning bid into your numbers

After an award, three buttons appear: Update estimate, Add to budget, and Create estimate. Each opens a chat with Handy and a prefilled prompt.

Review the prompt and send it. Nothing changes in your estimate or budget automatically.
