How to Manage Client Portal Access and Shared Items

Learn how to remove shared items from the portal, revoke client access, preview the portal, and disable it when needed.

Remove an Item From the Portal

You can remove any shared item so the client can no longer view it.

Remove an Item From the Item Menu

  • Open the estimate, invoice, document, or daily log you want to remove.

  • Open the 3-dot action menu.

  • Select Remove from portal.

  • Click Remove in the confirmation dialog.

After removal, you will see the confirmation message: Item removed from portal.

Remove an Item From the Manage Portal Screen

  • Open the project.

  • Click Manage portal.

  • In the Shared items section, find the item you want to remove.

  • Click the three-dot menu next to the item.

  • Select Remove from portal.

  • Click Remove to confirm.

Revoke a Client's Access

Removing a client prevents them from signing in to the portal. Shared items stay in the portal, but that client can no longer access them.

  • Open the project.

  • Open Manage portal from the Client portal card.

  • In the Portal access section, find the client you want to remove.

  • Click the three-dot menu next to their name.

  • Select Remove client.

Preview the Portal

You can preview the portal exactly as your client sees it without leaving your contractor account.

  • Open Manage portal.

  • Choose one of the following options:

    • On desktop, click View portal in the header to open a read-only preview in a new tab.

    • On mobile, tap View portal to open the preview.

    • On desktop, you can also click View as client from the Client portal card on the project screen.

Preview mode is read-only. You cannot make changes while viewing the portal preview.

Copying the portal link

Copy the portal URL to share it directly with your client.

  • Open Manage portal.

  • Click Copy link.

The portal URL is copied to your clipboard, and you will see the confirmation message: Client portal link copied.

You can paste this link into an email, text message, or another channel.

Disable the Portal

Disable the portal to temporarily turn off client access without deleting anything.

  • Open Manage portal.

  • Scroll to the bottom.

  • Tap Disable portal.

  • Review the confirmation message: Clients won't be able to sign in while this is off. Re-enable anytime.

  • Click Disable to confirm.

Additional Notes

  • Removing an item from the portal is immediate. The client loses access right away.

  • Removing an item from the portal also deactivates any public shared links for that item.

  • Disabling the portal does not delete anything. Shared items and access entries are preserved and return when the portal is re-enabled.

  • When a client opens a shared item for the first time, the item shows an opened status in the Shared items list.

  • The portal includes a Messages section where clients can leave comments on shared items.

  • Unread message counts appear on the Client portal card, such as 2 new messages.

  • You can reply to client messages from the Manage portal screen.

  • You need Edit permission on the project to manage portal access and shared items.

Troubleshooting

A client can still access a shared item

This usually happens when the item has not been removed from the portal yet.

To fix it, remove the item from the portal from either the item menu or the Manage portal screen. This also deactivates any public shared links for that item.

A client cannot sign in to the portal

This may happen if their access was revoked or the portal was disabled.

To fix it, check the Portal access section in Manage portal and confirm the portal is enabled.
