Overview
Before your crew can clock in, you need to enable time tracking, choose who can track time, and set their hourly rates.
Hourly rates are used to turn tracked hours into labor costs. You can also configure organization-wide defaults for location requirements, daily logs, project budgets, and shift approvals.
Time tracking requires the Pro or Scale plan.
Set up time tracking
Open the Time Tracking tab.
Select Set up time tracking.
Choose your employees.
Under EMPLOYEES, select each team member who should track time. If someone is not on your team yet, create them here.
Enter an hourly rate.
Set an Hourly rate for each person you selected.
Configure your organization-wide defaults.
Choose the default time tracking settings that should apply to your team.
Select Save.

Organization-wide defaults apply to everyone unless you set an override for an individual team member.
To change these settings later, open Time Tracking and select the gear icon in the Time Tracking header to open Time tracking settings.
Configure Require crew to be on site.
When enabled, crew members who clock in outside the project's designated area are asked to confirm their location, and the shift is flagged for review.
Projects without a mapped address are not checked.
Set the Clock-in area.
Choose how close a crew member needs to be to count as on site:
250 ft
500 ft
1,000 ft
1/2 mile
The default is 500 ft.
Configure Daily log at clock-out.
Choose whether crew members need to add a note about the day's work when clocking out:
Optional: The daily log never prevents a crew member from clocking out.
Required: The crew member must enter a daily log before clocking out.
Configure Add labor hours to project budgets.
When enabled, approved hours appear as labor costs on the project budget.
Configure Approve clean shifts automatically.
When enabled, on-site shifts that stay within your hour limit are automatically approved when the crew member clocks out.
Turn this setting off if you want to review every shift manually.
Set Flag shifts longer than.
Enter the maximum shift length before a shift requires review. Shifts longer than this limit are sent to Needs review instead of being automatically approved.
You can enter 1 to 24 hours. The default is 10 hours.
Select Apply changes.
Adjust settings for one person
You can override certain organization-wide settings for individual team members.
Open Time Tracking.
Select the Team Management tab.
Select Manage next to the team member you want to update.
Update their settings.
You can change their Hourly rate or override the following settings:
Include hours in budget
Daily log at clock-out
Require this member to be on site
Select Save.
Additional Notes
Set your organization-wide defaults before creating individual overrides. Saving an organization-wide setting clears that setting for anyone who previously had their own value.
Changes to an hourly rate only apply to future shifts. Each time entry keeps the hourly rate that was in effect when the team member clocked in, so existing labor costs do not change retroactively.
Removing someone from time tracking prevents them from clocking in but does not delete their existing time entries.
You can add a team member back to time tracking later.
