How time tracking works

Crew clock in and out, managers review and approve the hours, and approved time posts to project budgets as labor cost.

Written by Handoff Support

Time tracking records when your crew clocks in and out, so you can review the hours and post labor cost to your project budgets. Crew members clock in and out, and managers review the entries.

Available on the Pro and Scale plans. Tracking time for subcontractors is on the Scale plan. Works on desktop and in the mobile app.

Who does what

  • Crew: clock in and out, add a daily log, and request a change to a finished entry. Crew see only their own entries.

  • Managers: people with permission for Time tracking review, approve, reject, and edit entries for everyone, and manage who tracks time.

By default, the Admin role has the manager view. Project Managers and Field Crew see only their own entries, and you can change that on the Roles & permissions page.

Each person must be turned on for time tracking before they can clock in. See How to set up time tracking for your team.

Where to find time tracking

On desktop, select Time Tracking in the left navigation. In the mobile app, select Time, or open More if you do not see it.

Managers see three tabs:

  • Timesheets: every entry, with filters, totals, and exports. The mobile app calls this tab Timesheet.

  • Team Management: the people who track time, with their hourly rates and settings.

  • Clocked in: who is on the clock right now.

On the Clocked in tab, a map shows each clock-in pin and the project's clock-in area. Pins do not move after clock-in. Each entry shows whether the person was On site, Off-site, or Location unverified.

Crew see Timesheets and Schedules on desktop, and Schedules and Timesheet in the mobile app.

Which entries are approved automatically

When a crew member clocks out, Handoff approves a clean shift automatically. Every other entry goes to Needs review, where a manager approves or rejects it.

A shift needs review when:

  • The person clocked in outside the project's clock-in area.

  • Your company requires crew to be on site, and the location could not be verified.

  • The shift is longer than your Flag shifts longer than limit, which is 10 hours by default.

  • The entry is for a subcontractor. Subcontractor entries always need review.

  • Approve clean shifts automatically is turned off.

Check the Needs review count on the Timesheets tab to see what is waiting. See How to review and approve time entries.

How time becomes labor cost

Approved hours, minus breaks, multiplied by the person's hourly rate become labor cost on the project budget. Time logged under No project never reaches a budget. See How to track labor costs against your budget.
