To count labor in a budget, turn on Add labor hours to project budgets in time tracking settings and set hourly rates. Approved hours then post to the budget automatically.
Available on the Pro and Scale plans. You need permission to edit Time tracking. Works on desktop and in the mobile app.
Turn on labor costs
Select Time Tracking.
On desktop, select the gear icon, Time tracking settings, turn on Add labor hours to project budgets, and select Apply changes.
In the mobile app, turn on the Add to budget switch in the Add time tracking to your budgets banner.
Saving this setting clears any different choice set on an individual team member. On desktop, the banner Add time tracking to your project budgets has the same switch. The setup wizard for time tracking also offers the toggle in its Clock-in & budget step.
Set hourly rates
Labor cost is the hours worked, minus breaks, times the person's hourly rate. A shift with no rate costs $0.
Select Time Tracking > Team Management.
Select Manage next to the person.
In Hourly rates, enter a rate for All projects. To use a different rate on one job, select Add project rate.
Select Save.
When you change a rate, Handoff asks Apply the new rate to past hours?
Choose Only hours from now on or All hours, including past ones.
A shift keeps the rate it had when it was created unless you choose to apply the change to past hours.
Choose whose hours count
Select Time Tracking > Team Management.
Select Manage next to the person.
Turn Include hours in budget on or off, then select Save.
This setting overrides the company setting for that person. Subcontractors appear in their own section, and their approved hours count too.
Assign hours to a budget line item
When you clock out, or when you edit a time entry, choose a Budget line item. You can pick only lines from approved estimates and change orders.
Crew members can choose only while clocked in. Managers who can edit time tracking can choose any time.
What posts to the budget
Only approved shifts that have ended count. A shift is approved automatically when it is clean, or a manager approves it in the Timesheet. Time that isn't on a project never reaches a budget.
In the Budget tab, hours assigned to a line add to that line's Actual cost, and the row shows a Labor pill. Open the line to see each shift, tagged Timesheet.
Hours with no line appear in a Labor group, one row per person, named "{Person} Labor Hours". The group shows only for people who can view Time tracking. Timesheet labor can't be deleted from the budget.
