How to review and approve time entries

Find entries that need review, approve, reject, or edit them, approve change requests, export timesheets, and see who is clocked in.

Written by Handoff Support

To review time, open the Timesheets tab, select Needs review, open an entry, and select Approve entry or Reject. Clean shifts are approved automatically, so you only see the entries that need a decision.

Available on the Pro and Scale plans. Tracking time for subcontractors is on the Scale plan. You need permission to edit Time tracking. Works on desktop and in the mobile app.

Find entries that need review

  1. On desktop, select Time Tracking > Timesheets. In the mobile app, select Time > Timesheet.

  2. Select Needs review.

  3. To narrow the list, choose People, Projects, or a date range. In the mobile app, select the filter button for People and Projects.

The list shows Employee entries and, on the Scale plan, Subcontractor entries. Rejected entries stay in Needs review.

Approve, reject, or edit an entry

  1. Select the entry. Check the times, break, project, budget line item, daily log note, and photos.

  2. To accept it, select Approve entry.

  3. To send it back, select Reject, enter a reason, and select Reject entry. The crew member sees your reason and sends a corrected entry with Request a change.

  4. To fix it yourself, select Edit, change the entry, and select Save changes. Editing does not approve the entry, so select Approve entry after.

You cannot approve a running entry. To end one, select Clock out on the entry.

When a crew member requests a change, the entry shows Change requested with the new times and a reason. Select Approve change to apply the times and approve the entry. Select Reject, enter a reason, and select Reject change to keep the entry as it was.

Approve all entries at once

On desktop, Approve all appears in the Needs review view, next to the number of entries waiting. It approves every entry in the view that matches your filters, up to 1,000 each time you select it. Running entries and entries with a pending change request are skipped.

Approve all is not available in the mobile app.

Filter and export timesheets

On desktop, use the search icon to find a person, business, or project. Select Export > Export as CSV or Export as PDF. In the mobile app, select the filter button, then Export.

The export covers the full filtered range, including the Needs review filter, for employees and subcontractors. The CSV has these columns:

  • Member, Email, Date, Project, Phase

  • Clock in, Clock out, Break (min), Hours

  • Status

The CSV has no hourly rates or labor cost. On desktop, the PDF opens your browser's print dialog, where you choose Save as PDF. In the mobile app, it opens the share sheet.

See who is clocked in

Select Clocked in to see everyone on the clock now. A map shows each clock-in pin and the project's clock-in area. Each entry shows On site, Off-site, or Location unverified.
