How to set up the client portal and invite clients

Enable the client portal on a project, add your client, and send the invitation by email and text. Resend or cancel an invite and read each status.

Written by Handoff Support

To set up the client portal, select Enable in the Client portal card on the project Overview tab. Then add your client under Portal access and select Send invite.

Available on the Pro and Scale plans. You need permission to edit Projects. Works on desktop and in the mobile app.

Enable the client portal

  1. Open the project and go to the Overview tab.

  2. In the Client portal card, select Enable.

  3. In the Enable Client portal dialog, leave Send invitation email checked to invite the project's client now, or clear it to invite later.

  4. Select Enable.

The Client portal enabled message appears. The portal is on for this project only.

Send invitation email shows only when the project already has a client. If it has none, Handoff opens Manage portal so you can add one.

Handoff also adds items you already sent or shared on the project, such as proposals, change orders, invoices, documents, daily logs, and files.

Add a client

Adding a client does not send anything. It puts the person in your Portal access list as Not invited.

  1. In the Client portal card, select Manage portal.

  2. In Portal access, select Add client. On desktop, the button is in the section header. In the mobile app, it is at the bottom of the list.

  3. Choose an existing client contact, or select New client to create one.

The contact needs an email address or a phone number before you can invite them. You can add more than one client. Each gets their own invite, and the first one added becomes the project's client.

Send the invitation

  1. In Portal access, find the client marked Not invited.

  2. Select Send invite. On desktop, it is a button on the client's row. In the mobile app, select the three-dot menu on the row, then Send invite.

Your client gets an email and, if they have a phone number on file, a text. Each has a link to the client portal.

The invite expires after 7 days. Then the row shows Not invited again, and you can select Send invite to send a new one.

Resend or cancel an invite

Select the three-dot menu on the row of a client marked Invited, then choose:

  • Resend invite: sends a new link with a fresh 7 days.

  • Cancel invite: cancels the pending invite. The row returns to Not invited.

What each status means

  • Not invited: added, but no active invite. This also shows after an invite expires or is canceled.

  • Invited: an invite is pending.

  • Active: the client has signed in at least once.

  • Revoked: you took away their access. Select Send invite to restore it.
