How to manage client portal access

See who can open the client portal, revoke a client's access, remove a client, copy the portal link, or disable the portal for a project.

Written by Handoff Support

To manage who can open the client portal, select Manage portal in the Client portal card on the project Overview tab. The Portal access list shows each client and lets you revoke access, remove a client, or disable the portal.

Available on the Pro and Scale plans. You need permission to edit Projects. Works on desktop and in the mobile app.

See who has access

Portal access lists each client with their phone or email and a status: Not invited, Invited, Active, or Revoked. The same list shows in the Client portal card. Select the three-dot menu on a row for that client's actions.

Revoke access or remove a client

Both actions take effect immediately, with no confirmation.

  • Revoke access: available for Active clients. The client can no longer sign in and any pending invites are canceled. The row stays in the list as Revoked, shared items stay in the portal, and Send invite restores access.

  • Remove client: available on any row. It deletes the client from Portal access along with their invites, so they disappear from the list.

If the person you remove is the project's client, the next portal contact becomes the project's client, or the field is cleared. Use Revoke access when you want to keep the record.

Copy the portal link

In Manage portal, select Copy link. It copies the general link to the client portal, not a personal invite link.

A client who opens it enters their phone or email and gets a one-time code, but only if you added or invited them. To send a personal link, use Send invite or Resend invite.

Disable the portal

  1. Open Manage portal and scroll to the bottom.

  2. Select Disable portal.

  3. In the Disable Client portal dialog, select Disable.

The Client portal disabled message appears and you return to the project.

Clients can't sign in while the portal is off, and they see a message that the portal has been turned off. Nothing is deleted. Invites, access entries, and shared items return when you turn the portal back on.

To turn it back on, select Enable in the Client portal card. The Pro or Scale plan requirement applies again.

Preview what your client sees

Select View as client in the Client portal card, or View portal in Manage portal. The preview is read-only.
