How time tracking works in Handoff

What time tracking does, who it's for, and how tracked hours turn into real labor costs on your jobs.

Overview

Time tracking in Handoff lets your crew track hours directly against specific projects from their phones. Each time entry records the crew member's hourly rate when they clock in, turning tracked hours into actual labor costs.

Clean shifts are approved automatically, while exceptions are sent to you for review. When Add labor hours to project budgets is enabled, approved labor costs are added directly to the project budget so you can compare actual labor against your estimate while the job is still in progress.

Time tracking is available on the Pro and Scale plans.

How time tracking works

  1. Clock in to a project

    Crew members clock in from their phones and select the project they are working on. The timer runs until they clock out.

  2. Track labor costs

    Each time entry is stamped with the crew member's hourly rate at the time they clock in. This gives every shift its own labor cost without requiring separate timesheets or manual data entry.

  3. Automatically approve clean shifts

    When a crew member clocks out, Handoff automatically approves shifts that do not require review.

  4. Review exceptions

    Shifts that need attention are routed to you for review. This can include a shift that ran long or one that started away from the job site.

  5. Add approved labor to the project budget

    Enable Add labor hours to project budgets to have approved hours appear on the project budget as actual labor costs alongside your estimate.

  6. Monitor estimated vs. actual labor

    Use the project budget to see how actual labor costs compare with your estimate while the job is still underway.

  • Labor costs are based on the crew member's hourly rate when they clock in.

  • Clean shifts are approved automatically, so you only need to review exceptions.

  • Approved hours are added to project budgets only when Add labor hours to project budgets is enabled.
